How to Test Your Email Signature Across Every Email Client

Testing matters more than designing
Email rendering is fragmented in a way the modern web is not. The same signature can look crisp in Apple Mail, cramped in Gmail, and broken in Outlook — all from one file. That means a signature is never truly "done" when it looks good in your design tool. It is done when you have confirmed it in the inboxes your recipients actually use. Testing is not an afterthought; it is the job.
Know which clients to test
You cannot test everything, but a short list covers the vast majority of real inboxes:
- Outlook for Windows — the strictest renderer, and non-negotiable. If it works here, it usually works everywhere.
- Gmail (web and the mobile app) — enormous share; it can strip embedded styles and clips long messages.
- Apple Mail (macOS and iOS) — the most capable engine, and dominant on mobile.
- Outlook.com and Outlook for Mac — different engines from desktop Outlook, with their own quirks.
Cover those five surfaces and you have accounted for the overwhelming majority of how people will see your signature.
The send-to-yourself method
You do not need paid software to test well. The most reliable method is also the simplest:
- Add the signature to a real email account.
- Send a message to accounts you own on other providers — a Gmail address, an Outlook.com address, and so on.
- Open each one on desktop and on your phone.
- Forward the message to a colleague on a different setup if you can, especially someone on desktop Outlook.
Seeing the signature in a genuine inbox is the only test that fully counts, because it exercises the exact rendering path your recipients experience.
What to check in every client
With images blocked
Many clients hide remote images until the reader clicks "show images." Preview your signature with images off. Your name, title, and phone number should still be fully readable as text, and your logo's alt text should stand in gracefully.
In dark mode
Switch each client to dark mode and look again. The classic failure is a dark logo on a transparent background disappearing into a dark inbox, or an accent color that loses all contrast. Some clients also auto-invert colors in unexpected ways.
On mobile
Most email is opened on a phone. Check that nothing forces horizontal scrolling, that text stays legible without zooming, and that tel: and mailto: links are tappable with a fingertip.
Every link
Click each one. Confirm the website goes where it should, the email link opens a composer addressed to you, and the phone link dials the right number. Broken or mistyped links are the most common and most embarrassing signature bug.
In a reply, not just a fresh email
Signatures behave differently once quoted beneath a thread. Reply to yourself and confirm the spacing and images still hold up when the signature sits under existing conversation.

- Every link works.
- Still clean when quoted in a reply.
